Overview

Ad-hoc meetings let you record any video call without a calendar connection. Paste a Teams, Zoom, or Google Meet link, and the Ospri bot joins instantly or at a scheduled time. The same transcription and analysis pipeline runs automatically — no manual steps needed. This is ideal for:
  • Meetings that aren’t on your calendar
  • Quick calls you decide to record last-minute
  • External meetings where you want to capture the conversation
  • Calls on platforms you haven’t connected via calendar sync

How to Invite the Bot

The Invite to Meeting button is available in three places:
  • Meetings page header
  • Dashboard header
  • Home page (below the suggestion chips, when starting a new Brain conversation)

Click Invite to Meeting

Click the blue Invite to Meeting button. A dialog opens.

Paste the meeting link

Paste any video meeting URL into the input field:
  • https://teams.microsoft.com/l/meetup-join/...
  • https://zoom.us/j/...
  • https://meet.google.com/...
  • Webex, BlueJeans, and other meeting URLs

Add a title (optional)

Enter a meeting title so it’s easy to find later. If you leave this blank, the platform will try to auto-detect the title.

Choose when to join

  • Join Now — The bot joins the meeting immediately
  • Schedule for Later — Pick a date and time; the bot will join at the scheduled time

Send

Click Join Now or Schedule Bot. You’ll see a confirmation toast.

What Happens After

Once the bot joins, the standard pipeline runs automatically:
  1. Recording — The bot records the meeting with speaker-separated audio
  2. Transcription — Deepgram Nova-2 or Recall.ai transcribes with speaker diarization
  3. Speaker identification — Participant names are resolved from the meeting platform
  4. AI Analysis — Executive summary, action items, decisions, risks, and more
  5. Available in Recordings — The meeting appears in the Recordings tab with full transcript and analysis
No manual speaker labeling is needed (unlike in-person recordings) because the bot can identify participants from the video call platform.

Scheduling a Bot for Later

When you select Schedule for Later, you pick a date and time using the datetime picker. The bot will:
  1. Wait until the scheduled time
  2. Join the meeting at that exact time
  3. Record, transcribe, and analyze automatically
  4. Appear in Recordings when complete
Schedule the bot a minute or two before the meeting starts to ensure it’s ready when participants join.
